Suggestions from a phone: a form that ends in three steps

Employees should be able to write an idea at the machine without taking their gloves off. How the suggestion record is built and why it stays short.

Most suggestion schemes don't die from a lack of ideas; they die from long forms. An employee with five minutes between shifts gives up when a ten-field form opens. That is why the suggestion form in the ready-made templates has at most three steps: what you saw, what you suggest, and a photo if you have one.

How does a record start?

The employee taps “New record” on the home screen and picks one of the record types the company has set up. It may be a suggestion, complaint, Kaizen, Poka-Yoke, One Point Lesson or any other type the company adds; type names and fields belong to the company.

What is on the form?

  • Title and short description: voice typing can be used.
  • Photo: added straight from the phone camera.
  • Unit: the person's own unit is preselected.
  • Optional fields: added by the company; employees can skip the ones that are not required.

Once submitted, the record enters the approval flow the company built. The assignment rule in the flow, not the screen, decides who reviews it, so the record reaches the right desk even when people change.

Where does the employee follow the result?

The “My records” screen shows which step each record is in, who it is waiting with and the decision made. If the result is published, the suggestion also appears on the publication board. Employees who see feedback write their next idea more easily.
